Through rigorous internal training programs and active membership in esteemed professional organizations like the Community Associations Institute and the Executive Council of Homeowners, we ensure the ongoing success of its managers. With a large and experienced staff unmatched in the Bay Area, our managers draw upon a rich resource base.

The responsibilities of our Association Managers encompass:

  • Cultivating professional relationships with owners and methodically addressing service requests.
  • Collaborating in formulating specifications and contract procurement approved by the Board of Directors.
  • Conducting regular attendance at Board of Directors or General Membership Meetings.
  • Preparing comprehensive Board of Directors meeting materials, including agendas, meeting minutes, financial reports, Association Manager reports, and other relevant documentation.
  • Establishing and nurturing connections with contractors for common area maintenance.
  • Assisting the Board of Directors in the development of the annual Association budget.

Our accounting services are structured into three distinct functional areas, each with dedicated staff to segregate duties. This setup guarantees the highest level of financial integrity for every client association. The Fiscal Accounting functions encompass the following services:

  • Accurate generation of monthly billing statements for the collection of homeowner’s assessments.
  • Maintenance and reconciliation of bank accounts held under the Association’s tax ID number.
  • Vigilant monitoring of delinquencies to facilitate the collection of outstanding amounts.
  • Timely payment of Association bills.
  • Preparation of monthly financial statements detailing cash receipts, disbursements, and all reserve account activity.
  • Collaboration with auditors or other appointed professionals by the Board of Directors.
  • Preparation of contractor 1099 forms and management of payroll accounting.
  • Prompt preparation and submission of reports and forms to governmental agencies as mandated.

Efficient internal administrative support is fundamental to the prosperity of both our managers and client associations. The Administrative staff undertakes various crucial functions, including:

  • Managing files for Association correspondence, contracts, and legal documents.
  • Coordinating, preparing, printing, and distributing periodic newsletters and special mailings to all owners, including annual meeting notices, budgets, and required annual disclosures.
  • Drafting other correspondence for communication with the membership or individual members.
  • Maintaining up-to-date homeowners lists and promptly updating the Board of Directors.

Our customer service team is the initial contact for any member contacting us with inquiries or service requests for a client association. These proficient professionals are capable of addressing most matters raised by any member. The duties of the Customer Service Department staff include:

  • Helping the residents and association managers.
  • Directing calls to the relevant departments as needed.
  • Handling routine service requests from homeowners.
  • Maintaining records of service requests.
  • Providing round-the-clock emergency services, seven days a week.
